How should I prepare for my appointment?You will receive a text or email reminder about your appointment 24 to 48 hours in advance; please confirm your appointment upon receiving this reminder. To facilitate smooth set up, ensure the space beneath each unit is cleared of personal items and prepared for equipment. If you need assistance moving furniture, please notify us in advance. Prior to starting the cleaning process, we will check each unit for proper functioning; inform your technician of any known issues—past or present—before we begin. Additionally, we need access to a tub, large sink, or outdoor spigot. Please indicate during the intake process if any of these are unavailable so we can make the necessary arrangements.

What's your process?Our procedure begins with testing each unit to ensure it is functioning correctly. During the disassembly and cleaning process, we remove the carapace, louvers, and other exterior plastic parts to access areas where mold and other contaminants accumulate. We then install a plastic catchment around the unit and clean each head thoroughly using specialized equipment and an eco-friendly detergent designed to deter mold while safeguarding the machine's sensitive components. Once cleaning is complete, all plastic parts are reinstalled following a thorough washing and drying. Before concluding your appointment, we test each unit once more to confirm proper functionality.

How long will my appointment last?For the initial cleaning, we allocate 2 service hours per wall unit and approximately 2.5 service hours for floor units and 3 hours for ceiling cassettes. If a unit exceeds the designated hour time frame, an additional service charge of $100 per cleaning hour will apply, billed in 15-minute increments.

Why should I have my units cleaned regularly?An ounce of prevention is worth a pound of cure... Regular and consistent cleaning maintenance is critical to the efficiency and proper functioning of your heat pumps. We often hear from frustrated home or business owners in crisis. A lack of cleaning maintenance can contribute to decreased efficiency, higher utility bills, reduced air quality that can lead to health problems, unnecessary wear and tear on the equipment, expensive service calls, malfunctioning machines and leaking units that cause thousands of dollars in damage to flooring, drywall, personal belongings, etc. We offer discounted rates for clients who opt for annual contracts to have their heat pump inspected and/or cleaned regularly.

How often should I have my units cleaned?At The Happy Heat Pump, we strongly recommend scheduling an annual inspection for your units to ensure optimal performance and longevity. Our inspection service is priced $50 per wall or floor unit and $75 per ceiling cassette, we assess soil levels, clean primary filters, and vacuum condensate lines to ensure they flow freely. If we determine a unit requires a deeper cleaning, the inspection fee will be credited toward the cost of cleaning that unit. Regular maintenance not only helps in maintaining efficiency but also prevents potential costly repairs down the line.

Why do you offer a discounted rate for annual cleanings?The deep cleaning process is both thorough and time-consuming, with the time required increasing based on the level of contamination. Heavily soiled machines can lead to clogged drain lines, which impact efficiency and proper operation of your heat pump(s). These issues not only require costly service calls but can result in leaking machines that damage flooring, drywall, and furniture. By adhering to a regular cleaning schedule, you can ensure your units operate at peak efficiency, benefiting from reduced operational costs and more efficient cleaning services at a lower overall expense.

When is payment due?A 50% down payment is required to reserve your appointment with the remaining balance due at the time service begins.

What's your cancellation policy?As a small company, cancellations have a negative impact on scheduling and our financial ability to operate. It's difficult to fill gaps in the schedule due to last minute cancellations. When you schedule an appointment you're reserving both the service AND the available time slot that can't be reserved for other clients in need. In the event you need to cancel or reschedule we appreciate you cancelling as soon as possible. Cancellations made 72 hrs in advance will incur no fees and a full refund will be issued. After the 72 hr. window a refund for service will not be available. No exceptions.

What forms of payment do you accept?We are currently able to accept cash, check, Venmo (preferred) and Paypal.

Do you check refrigerant levels as part of your process?Refrigerant pressure is not checked unless a machine isn't operating properly; they either work or they don't. If you encounter a problem with the functioning of your heat pump and refrigerant levels are the suspected issue, properly checking levels requires an in-depth process of removing all refrigerant from the system, weighing it and then "re-charging" the system with the proper amount of refrigerant. This is because the system is a "closed loop". Not only is using pressure gauges ineffective, you also lose a small amount of refrigerant each time a gauge is hooked up and used for this process.
